Free Photographer Venue Agreement Template (PDF)
A venue and vendor agreement coordinates access, restrictions, and insurance requirements between a photographer and the venue or other vendors at an event — the document that prevents a photographer from being turned away or restricted on the day because access terms were never confirmed in writing.

When to use it
Use this when a venue has its own rules a photographer needs to know in advance — restricted areas, no-flash or no-drone policies, required certificates of insurance — or when coordinating access times and equipment needs with a venue coordinator ahead of an event.
What's typically included
- Event date and venue
- Access times and areas
- Restrictions (flash, tripods, drones, restricted areas)
- Power and equipment provisions
- Insurance and liability requirements
- Image usage permissions for both the venue and the photographer
- Signature blocks for photographer and venue/vendor
How to fill it in
- List every restriction the venue actually enforces (flash, tripods, drones, off-limits areas) specifically — a photographer who wasn't told about a no-drone policy in writing has a legitimate complaint if turned away on the day.
- If the venue requires a certificate of insurance, attach it using the attachment field rather than just mentioning it in the text — that's what the field is there for.
- Confirm access and teardown times precisely (not just the event's own start/end time) — most access disputes are about setup and breakdown windows, not the event itself.
This document involves payment terms, cancellation penalties, and image-rights/ownership language that carry real financial and legal consequences if disputed. It is a general starting point only — not legal advice — and should be reviewed by an attorney licensed in your state before use.
Frequently asked questions
Who normally sends this — the photographer or the venue?
Either can, but it's usually the photographer, since they're the one who needs the venue's restrictions and access terms confirmed in writing before the event. The template works the same regardless of who initiates it.
Is an electronically signed agreement enough to confirm venue access terms?
Yes, under the U.S. ESIGN Act and state UETA laws, an electronic signature is just as binding as a wet-ink one — and having the access terms and restrictions in writing, however they're signed, is what actually protects both sides.
What if the venue doesn't require a certificate of insurance?
Leave the attachment field empty — it's optional on this template specifically because not every venue requires one, and requiring an upload that doesn't apply would block sending the document for no reason.
